VOLUNTEER SUBMISSION FORM

ADDY AWARDS

The ADDY® Awards is the world’s largest advertising competition. They represent the true spirit of creative excellence by recognizing all forms of advertising from media of all types, creative by all sizes, and entrants of all levels from anywhere in the world. This committee oversees the competition and the awards event.

Competition sub-committee attends committee meetings and assists with:

  • Contacting agencies to encourage submissions
  • Securing judges
  • Online submission process
  • Accepting entries
  • Notifying winners

Awards event sub-committee attends committee meetings and assists with:

  • Venue selection
  • Call-to-entry “kickoff” party
  • Securing entertainment
  • Producing the show with vendor partners
  • Selling sponsorships
  • Overseeing the script for the show
  • Organizing the hanging-of-work party a few nights before the event

DIVERSITY

The purpose of this committee is: to develop and recommend innovative programs that are inclusive of, expand the role of and drive participation of minorities throughout The Club; to create opportunities within the industry; and to provide self-regulation guidelines for recruitment and retention efforts.

Committee responsibilities include:

  • Performing student outreach, at the high school, tech school, art school, and junior college level – participating at career days where available
  • Developing materials for school visits
  • Developing a Diversity or “segment” marketing, half-day event
  • Participating in Membership, Programs and Education committee meetings as it relates to diversity issues

EDUCATION

The goal of this important committee is to: 1) Sustain and improve the future of advertising and marketing in the Dallas area; 2) Develop activities that expand students’ knowledge and confidence about a career in advertising; 3) Develop and maintain ideas that continue the education of the advertising and business professionals within the community.

The committee responsibilities include assisting with:

  • Management of the scholarship programs: posting applications on the AAF Dallas and AAFD Foundation websites, providing award letters to winners, getting recipients to luncheons to accept the scholarships, and working with the Foundation, in general
  • Management of student outreach: developing relationships with area colleges and universities, adopting their AAF chapters, involving the students in the ADDY awards
  • Management and execution of the AAFuture (mentoring) program

 

GOVERNMENT AFFAIRS

The duties and responsibilities of the Government Affairs Committee include:

  • Monitoring local, state and federal legislation on all matters affecting the advertising business or interest to the profession
  • Establishing relationships with local and state legislators, ideally before an issue arises
  • Ensuring that the club has a grassroots notification system which can be mobilized quickly and efficiently should any legislative problem arise
  • Building a sense of constant legislative awareness among our members by utilizing all communication channels
  • Participating in District 10 conference calls; monitor and share communications from  AAF National

INTERACTIVE

The role of this committee (along with other the marketing services team members (Marcom, PR, and Social media) is to promote and communicate news and events planned and developed by Programs, Education, Government Affairs, ADDYs, Membership, Social Activities via the club website, emails, and e-newsletters.

The committee responsibilities include assisting with:

  • Development, expansion and upkeep of new site
  • Posting and updating web content on a timely basis
  • Ensuring tags are correct as content changes
  • Monitoring site metrics
  • Determining an effective email schedule
  • Issuing of e-newsletters, emails, and other communications with members

MARCOM

Develop “best practice” processes for all communications efforts, coordinating with Interactive, Social Media and PR to ensure synergy and continuity across all programs.

The committee responsibilities include assisting with:

  • Development of final copy for all channels based on input from Programs, Education, Government Affairs, ADDYs, Membership, Social Activities
  • Creation and management of club activities calendar with respective materials due dates
  • Development of project checklists, request forms, and design templates for various communications (i.e. emails, web, newsletter, programs for lunch tables, etc) that ensure process standards and inform the layout of copy, visuals, sponsor logos, etc
  • Coordination with corporate agency members to get Agency Spotlights posted on the website
  • Creation of custom creative for Happy Hours, luncheon programs, etc as needed
  • Creation of custom collateral such as member brochures, etc
  • Review of copy and layout for all Club Achievement submissions written by other committees; submit to Executive Committee for review prior to submission

SOCIAL MEDIA

The role of this committee (along with other the marketing services team members (Marcom, PR and Interactive) is to promote and communicate news and events planned and developed by Programs, Education, Government Affairs, ADDYs, Membership, Social Activities via the social media channels.

Committee responsibilities include assisting with:

 

  • Development of a social media strategy that grows engaged AAF Dallas communities and helps define club objectives in the context of content
  • Development of a qualified team of social media experts to manage full range of platforms
  • Ensuring that social properties are promoted in all club communications
  • Finding unique ways to build social components of club programs

PUBLIC RELATIONS

The role of this committee (along with other the marketing services team members (Marcom, Social Media and Interactive) is to promote and communicate news and events planned and developed by Programs, Education, Government Affairs, ADDYs, Membership, Social Activities via the social media channels.

Committee responsibilities include assisting with:

  • Management of media relationships, leveraging club activities to pitch story ideas and AAF Dallas “experts”
  • Media Monitoring – AAF Dallas and Pitch ideas
  • Writing press releases, promoting to networking groups, businesses, search consultants, and promoting local agency news
  • Developing press kit materials
  • Developing Newsroom on the website

PROGRAMS

The role of this committee is to provide Professional Development opportunities for the Dallas community, with monthly luncheon programs and monthly or quarterly breakfast programs.

Committee responsibilities include assisting with:

  • Developing an annual calendar with themes and topline descriptions of each

  • Securing and preparing moderators and speakers for each program

  • Developing promotional plan to support each event

  • Management of “day of” logistics (i.e. greeting the speakers as they arrive, ensuring they have a chance to eat prior to program start, etc)

  • Coordinating various activities for Magazine Day and Cable Day

  • Assisting when needed for District 10 events hosted by AAF Dallas (i.e. Innovation In Leadership Award, Southwest Hall of Fame Induction, Morris Hite event, etc)

MEMBERSHIP

The three key responsibilities of this committee are to recruit, retain and engage members.

Committee responsibilities include assisting with:

  • Developing and nurturing agency relationships (members and non-members), conducting annual visits to communicate volunteer opportunities and the value of attending events
  • Developing and nurturing relationships with corporations based in the Dallas area (members and non-members)
  • Managing member roster, ensuring necessary information is provided to the District and National membership teams as required
  • Providing hosts at each club event to promote the value of membership
  • Conducting member research to better meet the needs of the member base
  • Coordinating with MarCom to ensure Agency Spotlights are posted timely and correctly on the website
  • Providing new member contact information to Volunteer Committee for followup

SOCIAL ACTIVITIES

Committee responsibilities include assisting with:

  • Happy Hours: Securing locations, developing themes, securing speakers and/or special guests
  • Volleyball Tournament: Booking the location, registering companies and agencies as participating teams, identifying an alcohol sponsor, communicating game rules, providing trophies, etc
  • Golf Tournament: Booking the location, securing foursomes, communicating scramble rules, providing trophies, etc

VOLUNTEER

This committee is responsible for prospecting, soliciting, assigning and supporting the placement of volunteers within the club.

Committee responsibilities include assisting with:

  • Networking to identify and recruit volunteers
  • Developing programs that recognize the extraordinary efforts of our committee volunteers
  • Developing and implementing “Speed Networking” sessions prior to luncheons

SPONSORSHIP

Committee responsibilities include assisting with:

 

  • Identifying relevant sponsors for each club activity/event

     

  • Development of sales materials

     

  • Selling sponsorship packages

     

  • Ensuring sponsors receive all elements as outlined in their agreement
